TERMS OF REFERENCE (TOR)
PARENTS IN ACTION GROUP
The following is a listing of Terms of reference for appointments held by members of the Rangers Parents in Action Croup. These terms of reference provide a ready guidline for the exection of their duties and responsibilities. The authority invested in each position is made clear.
PARENTS IN ACTION GROUP
AUTHORITY:
-
The parents in the Action Group (PAIG) is are accountable tothe Rangers Director (RD).
Duties and Responsibilities:
-
The PIAG includes, but is not limited to parents, guardians, well-wishers and it's executive board.
-
The PIAG is the public relations arm of the Rangers program, and exists to assist but not to interfere with the training and discipline of the Defence Force Ranger cadets.
-
The PIAG assist with planning and executing of activities for the social development of the Ranger cadets.
-
Act as a support arm for the Rangers program, with key focus on accumulation of funds to aid in the development of the program.
-
Solicit funds from corporate Bahamas to assit cadets who due to lack of finances are not able to purchase uniforms and other ranger paraphernalia.
-
The PIAG also aid in creating, supporting and maintaining a positive public image for the Ranger program.
PARENTS IN ACTION PRESIDENT
Authority:
-
The PAIG president (PIAGP) is accountable to the Rangers Director (RD) through the Rangers Administration Cheif (RAC), and in the absence of the (RAC) the Rangers Operations Cheif (ROC).
Duties and Responsibilities:
-
The PAIGP is responsible for the planning, organizing and in consultation with group members appointing of committee members for all Special Projects and Fund Raisers.

The PIAGP is responsible for cheering group meetings and ensuring that PIAG meets monthly,a nd that minutes are forwarded to RAC.
-
The PIAGP is responsible for producing monthly reports and frowarding them through the proper channels.
-
The PIAGP must keep accurate records of all assets held by the PIAG and those entrusted to the group by the Roayal Bahamas Defence Force Rangers Program.
-
The PIAGP can request financial statements from the Parents in Action Group treasurer (PIAGT) and can make financial decisions only under consultation with the group members.
-
The PIAGP is an authorized signatory on the PIAG account, and is responsible for collecting monthly statements from the PIAGT to be forwarded to RAC.
-
The PIAGP is to ensure that all donations and or sponsors are documents by the Parents in Action Gropu secretary (PIAGS), and information forwarded to RAC.
-
The PIAGP is to ensure taht proper record keeping by PIAGT and PIAGS are maintained for the purpose of accountability.
PARENTS IN ACTION VICE PRESIDENT
Authority:

The PIAG Vice President (PIAGVP) is accountable to the Rangers Director (RD) through the Rangers Administration Cheif (RAC), and in the absence of the RAC the Rangers Operations Chief (ROC).
Duties and Responsibilites:

The PIAGVP takes the lead in matters relating to public relations for the program.

The PIAGVP solicits ideas from group members and parents, and is the spokesperson for the group with regards to the promoting of the Rangers program.
-
The PIAGVP works on tandem with the PIAGP and attends all meeting called by the PIAGP, in the Abscence of the PIAGP, the PIAGVP cheers those meetings.
-
The PIAGVP must be aware of all assets held by the PIAG and those entrusted to the group by the Royal Bahamas Defence Force Rangers Program.

ThePIAGVP can request financial statements from the PIAGT and can make financial decisions only under consultation of the president and group memebers.
-
The PIAGVP is an authorized signatory on the PIAG account and in the adsence of the PIAGP is responsible for collecting monthly statements from PIAGPT to be forwarded to the RAC.

In the absence of the PIAGP, the PIAGVP, is to ensure that all donations and or sponsors are documented by the Parents in Action Group Secretary (PAIGS), and information forwarded to RAC.

The PIAGVP is to report and instance of impropriety or breeches by group members to RAC.
-
In the absence of the PIAGP the PIAGVP assumes all duties and responsibilities of the position.

The PIAGVP is to promote unity, teamwork, and accountability among group members,a nd parents.
PARENTS IN ACTION TREASURER
Authority:

The PAIG Treasurer (PIAGT) is accountable to the Rangers Director (RD) through the Parents in action group president (PIAGP), and the Rangers Administrations Cheif (RAC).
Duties and Responsibilities:

The PIAG is responsible for all financial transactions within the group, inclusve of deposits and withdrawls.

The PIAGT is responsible for collection of funds at all ranger fund raising events, and that deposits are made in a timely manner.
-
The PIAGT is to ensure that all monetary donations are collected and deposited in a timely manner.
-
The PIAGT is to produce monthly statements and give them to the PIAGP.
-
PIAGT makes financial decisions only in consultation with the group.
-
PIAGT makes emergency financial decisions only in consultation with the PAIGPand RAC or in the absence therof the PIAGVP, and the ROC.
-
The PIAGT is an authorized signatory on the PIAG account and is to ensure that all record keepong is correct and up to date.

The PIAGT is not to divulge financial information to parents unless otherwise instructed by the PIAGP or in the absence thereof the PIAGVP.

The PIAGT is to report any instance of impropriety or breeches by group members to RAC.

The PAIGT promotes unity, teamwork, and accountability among group members, amd parents.
PARENTS IN ACTION ASSISTANT TREASURER
Authority:

The PAIG Assistant Treasurer (PIAGAT) is accountable to the Rangers Director (RD) through the Parents in Action Group (PIAG), and the Rangers Administrations Cheif (RAC).
Duties and Responsibilities:

The PIAGAT works along with the PIAGT to ensure that al financial transactions within the group are carried out, inclusive of deposits and withdrawls.

PARENTSIN ACTION SERETARY
Authority:

The PAIG Secretary (PIAGS) is accountable to the Parents in Action Group President (PIAGP).
Duties and Responsibilities:
-
The PIAGS is responsible for all administration work required by the PIAG.
-
The PIAGS under instruction from the PIAGP forwards all necessary correspondence to the RAC.
-
The PIAGS is responsible for taking minutes at all group meetings and producing copies of previous minutes for viewing by group members and the RAC upon request.
-
The PIAGS is to support the vision of the PIAGP and assist where necessary, as required,
-
The PIAGS works in tandem with the PIAGP to ensure correspondence reference upcoming social events are distributed to the parents.

The PIAGS works intandem with the PIAGVP to ensure that all public relations correspondence is forwarded in a timely manner.

The PIAGS is NOT an authorized signatory on the ranger account, and CANNOT make financial decisions, however the PIAGS can as a group member make suggestions, agree, or disagree, with any proposal brought to the group by the PIAGP or PIAGVP.

The PIAGS is to report any instance of impropriety or breeches by group memebers to the RAC.

The PIAGS promotes unity, teamwork, and accountability among group members, and parents.
PARENTS IN ACTION GROUP MEMBERS
Authority:

The PIAG Group Member (PIAGGM) is accountable to the Parents in Action Group President (PIAGP).
Duties and Responsibilities:
-
The PIAGGM is to support the vision of the PIAGP and assist where necessary, as required.
-
The PIAGGM works along with the PIAGP and PIAGVP to ensure that group goals are met.
-
The PIAGGM is NOT and authorized signatory on the ranger account, and CANNOT make financial decisions, however the PIAGGM can as a gropu memeber make suggestions, agree or disagree with any proposal brought to the group by the PIAGP or PIAGVP.

The PIAGGM is to report any instance of propriety or breeches bygroup memebers to the RAC.

The PIAGGM promotes unity, teamwork and accountability among other group members and parents.
